Workshop, online appointments and order status

Intake with a bike record, cost estimates with approval, planning without double bookings and a customer who can see online how far along their bike is. Customers book workshop appointments on your website – instantly, with a QR code for drop-off.

  • Edition from Light
  • Module: Werkstatt
  • Module: Onlinekanäle

Workshop order

  • Intake with the customer’s bike (bike record with history, frame number, measurements), fault description and checklist points
  • Suggestions for wear parts and due services from the bike record, measurements and maintenance plans – with reasons; declined recommendations appear on the order and invoice
  • Cost estimate with an approval limit: if the total exceeds it, the order waits for the customer’s approval (in person, phone, e-mail)
  • Labour, parts with serial numbers and stock check, free text; parts feed the reorder suggestion as demand
  • Payer lessor or insurer: check the service budget by frame number, create an insurance claim
  • Billing as an invoice or at the register; confirm pickup explicitly so the bay becomes free

Planning and documents

  • Workshop planning per mechanic with capacity from working hours and breaks; conflicts are shown and only overridden deliberately
  • Public holidays per location state, desired dates and online bookings count towards the workload
  • Order confirmation, cost estimate, repair tag and pickup slip as PDF (German/English), customer e-mails “ready for pickup”
  • Bays for bikes in progress and awaiting pickup; overview of where every bike stands
  • Share a workshop order with colleagues in the chat, follow-up reminders on the order

Online booking and order status

  • Public booking page to embed in your website: service packages with duration and their own time windows, closed days, no double bookings
  • Booking for bought and leased bikes, also several bikes with photos; confirmation with QR code by e-mail, cancellation link
  • Check-in at the shop: scan the QR code – only then is the workshop order created
  • Invitations with a preset reason, e.g. “service due” from customer retention
  • Order status online: access code with QR code on the order confirmation, pickup slip and e-mail; the customer sees received, in progress, waiting for parts, ready – without prices
  • Access ends 14 days after pickup; failed attempts are throttled, codes can be regenerated or blocked
